The fix: Design a SharePoint structure that mirrors how your business actually works. Set up Teams with purpose — one per department or project, with proper channels. Establish naming conventions and train your staff. This is a one-time setup that pays dividends forever.

5. Email Security Is an Afterthought

Default M365 email security catches obvious spam but misses sophisticated phishing. Dallas businesses — especially those handling financial or legal information — need additional email protection: advanced threat filtering, link scanning, attachment sandboxing, and impersonation detection.

The fix: Enable Microsoft Defender for Office 365 (included in Business Premium) and configure it properly. Set up DKIM, DMARC, and SPF records for your domain to prevent email spoofing.

  5. File structure — SharePoint sites for team files, OneDrive for personal files, clear permissions, external sharing policies defined.
  6. Backup and compliance — Third-party backup configured, retention policies set, audit logging enabled.
  7. Training — Your team actually knows how to use Teams, SharePoint, and OneDrive effectively. Most productivity losses come from employees not knowing the tools they already have.
